Site Terms & Conditions | Breaks Fold Farm
These Terms and Conditions apply to all bookings. By booking via our website, in person, by telephone, by email, or via a direct invoice, you confirm that you accept all terms and conditions detailed below as an individual or a company.
- Holiday Insurance: It is strongly recommended that you take out comprehensive holiday insurance to cover yourself in the event of illness or any unforeseen event that prevents you from taking your holiday.
- Voucher Codes: If you use a voucher discount code for dates where it is not valid, your booking will be cancelled and refunded less card fees. Please carefully check the explicit terms of all discounts and vouchers before use.
1. Check-In & Check-Out Times
- Camping & Electric Hook-Up Pitches: Check-in is strictly from 2:00 PM to 8:00 PM. Check-out is by 11:30 AM. If you wish to check out later please book an extra night.
- Glamping Shepherd's Huts & Static Caravan: Check-in is strictly from 3:00 PM to 8:00 PM. Check-out is by 10:00 AM (extended to 11:00 AM only if the Wensleydale hut is booked).
- Guests must check out on-time.
- Please note: No check-ins will be accepted outside of these standard times unless expressly arranged and agreed upon at the time of booking. We do not accept unbooked walk-ins past 8:00 PM.
2. Winter Travel, Location & Supplies
If you make a booking during the winter months, please plan appropriately for changing rural road conditions. The weather in North Yorkshire can vary dramatically. While our insulated shepherd's huts and static caravan are fully weatherproof and will run normally in rain or snow, Breaks Fold Farm is not liable for any local road closures or travel delays. We are not located close to shops, so please bring adequate supplies with you. You are welcome to arrange a supermarket shopping delivery to the farm, but you must be physically on-site and available to accept and sign for it yourself.
3. Power Cuts & Back-Up Generator Usage
In the rare event of a power cut completely beyond our control, Breaks Fold Farm operates an on-site back-to-nature backup generator. For your safety, please stay put at your accommodation and await our instructions. Due to strict power loading restrictions on the generator, outdoor Jacuzzi hot tubs cannot be used during a power cut. If an unexpected power cut lasts for more than 6 consecutive hours, a partial refund will be offered on the hot tub supplement fee for that specific day. If we are made aware of a planned regional power cut by the energy network, we will notify you in advance and offer you the option to move your booking dates (we will usually close with enough advanced notice of a planned power cut).
4. Cancellations & Refund Policies
- Campsite Closures: You are only liable for a monetary refund should Breaks Fold Farm fail to open the site due to operational issues.
- Guest Non-Arrivals: There will be strictly NO refunds or date transfers for guests arriving late, cutting a stay short, or failing to arrive due to poor weather, personal vehicle breakdowns, public transport delays, acts of God, or anything covered in our Events Outside Our Control terms.
- Cancellations by Us: We reserve the right to cancel the contract with a customer at any time as a result of an Event Outside Our Control. In this rare instance, we will, at our sole discretion, either provide an alternative date for your stay (excluding selected peak dates) or issue a full refund of your paid amounts.
- Cancellations On-site - If you break our site rules, damage our property, access out of bounds areas, are aggressive towards us or other customers, have your dog out of control you will be asked to leave the site immediately with no refund.
- Cancellation Policy -
- 30 days or more full refund or free rebooking (one date change free of charge).
- Up to 14 days 50% refund.
- Within 14 days no refund.
- Rebook refund - we will attempt to fill your accomodation and if we can we will refund you. This is within the 14 day period, but not on bookings occuring within 7 days.
- Refunds are all less card fees which are not refunded to us.
- We may rebook camping bookings cancelled within the 14 days at if we have availability, but this will be limited to Sunday to Thursday and exclude bank holidays. We will offer this service once and subject to availability.
- Hot Tub Bookings: Optional glamping hot tub bookings are strictly for the full duration of your stay only. We do not offer a single-night hot tub package on a multi-night reservation.
5. Legal Definitions
When the following words are used in these Terms, this is what they mean:
- "Terms": These standard terms and conditions.
- "Campsite", "Glamping", "Accommodation", "We", "Us", "Our": Breaks Fold Farm, West End, North Yorkshire, HG3 4BB.
- "Website": www.breaksfoldfarm.co.uk
- "Booking": A booking request securely submitted to us via our website, email, phone, post, or in person.
- "Arrival Date": The specific date on which your holiday booking commences and you are due to arrive on site.
- "Prices": The total operational cost of our accommodation and services as detailed on our website.
6. The Contract & General Stay Limits
- These Terms and our current price list set out the entire legal agreement between you and Breaks Fold Farm. Only these Terms shall apply to our contract with you.
- Please double-check that all specific details on your booking confirmation are complete and accurate before finalising your payment.
- We reserve the right to amend or change these Terms (including rules published on our main camping pages) at any time. Any changes take effect immediately once posted on the website or brought to your attention.
- If you fail to adhere to our site Terms and rules, or fail to clear payments for your stay, you will be in breach of contract and will be required to leave the site immediately without a refund. Legal action will be pursued for unpaid invoices or cancellations without contractually cleared payments.
- Maximum Stay Duration: A single booking cannot be made for more than 14 consecutive days via the website. A person or group of persons may not stay on-site for longer than 28 consecutive days in total. Our accommodation is strictly to be used for recreational holiday use only.
- Group Bookings: If you are part of a group booking of 8 people or more, you must telephone us to get approval before making a reservation; otherwise, you may be refused entry on arrival. We do not accept large, single-sex groups (such as stag or hen parties) without prior written approval. Group bookings handled outside our standard online system will be invoiced and accept these same terms upon receipt of the invoice file.
- Proof of Booking: You must be able to provide clear proof of your booking upon arrival, either via a printed confirmation email or a screenshot displayed on a mobile device.
7. On-Site Rules & Farm Safety
- Right of Admission: We reserve the right of admission at all times. We exclusively accept responsible guests who are considerate to fellow campers/glampers and respectful of our surrounding rural environment.
- Children's Safety: Breaks Fold Farm is an active, busy working farm. All children must be closely and constantly supervised by an adult at all times due to moving farm machinery, deep water features, and livestock nearby.
- Quiet Hours: There must be no loud, disruptive, or antisocial noise on site between 22:00 (10:00 PM) and 08:00 (8:00 AM). Children must not use the campsite play area between these hours out of respect for fellow guests. To preserve the peaceful valley atmosphere, outdoor Jacuzzi hot tubs must not be operated between 10:00 PM and 8:00 AM. Hot tubs are strictly for the use of booked glamping guests only as is the glamping area.
- Permitted Units (Grass Camping): Our unpowered grass camping field is a strictly non-permanent tent-only area. We gladly accept traditional tents, roof tents, tent boxes, trailer tents, and small short-wheelbase campervans (such as standard VW campers) with regular drive-away awnings. We feature separate, dedicated level areas of the farm for larger caravans and motorhomes. Non traditional units must contact us before booking.
- Guests must only access the permitted guest areas: Do not enter farm buildings, climb on walls or fences or go into clearly signed out of bounds areas. Campers must not enter the glamping or static caravan area, which is solely for the booked guests only.
- Drive Slow: We operate a 5mph site speed limit, please drive slowly. Please use the dedicated late parking if arriving back to site after 10pm.
- Elsan Point: Green fluid only, no wood pellets or blue chemical may be used. You will be charged for any damages caused. - IMPORTANT - Please note we do not allow bucket toilets that use absorbant bags/wood pellets on our site, as we then have to deal with this is our bins or people are damaging our chemical emptying point putting wood pellets and bags down it (we have to then move this from the camping bins to the main bins - yes people have been putting bags of human waste/urine in our bins and we are not dealing with it anymore). We provide excellent modern toilet facilities which are close to both our fields, so there is absolutely no need for this. Proper chemical toilets (i.e. caravan/motorloos/proper porta potti type toilets) using green fluid are more than welcome, as they can use the dedicated emptying point.
- Treatment Plant System: Only human waste and toilet roll can be flushed down our toilets. Please use the bags and bins provided accross our site for anything else.
- Respect our Facilties and Accomodation: Guests found damaging or have damaged our property will be charged. Please treat our site well and help us keep it in great condition.
- No group bookings without prior contact: We are happy to accept small groups looking for a quiet getaway, we do not accept single sex or large groups. We are a quiet site for those looking to enjoy a peaceful break.
- No loud music on-site: No loud music is to be played on-site at any time. Please keep all noise to within your own space and be respectful of others.
- All broken equipment must be taken home and disposed of: Broken tents, airbeds, cardboard boxes, bbqs, blankets, sleeping bags etc (any iten you have brought with you other than food/food packaging) must all be taken home. We cannot put these items in our bins and have to pay to dispose of them. Any of these items left you will be charged, cctv is in operation in the bin area.
8. Strict Site Dog Policy
Well-behaved dogs are welcome on our grass camping field, electric pitches, and inside our static caravan for an additional nightly charge, subject to the following rules:
- Short Leads At All Times: Your dog remains your sole responsibility. Dogs must be kept on a short lead at all times across all areas of the farm and guest areas (other than the secure caravan garden) — absolutely no exceptions. If your dog is seen roaming free, you will be asked to put it on a lead immediately. If you continue to have your dog off lead you will be asked to leave no refund.
- Limits & Supervision: Bookings are strictly limited to a maximum of 2 dogs per party. Dogs must never be left unattended anywhere on the campsite, inside cars, or within fixed holiday accommodation. Dogs are not allowed on the glamping area or in the shepherds huts.
- Fouling & Exercise: You are responsible for cleaning up after your dog. All waste must be bagged up and disposed of immediately in the designated site bins. Dogs should be exercised away from the main camping spaces and accommodation gardens - there is a direct off site wallk perfect for exercising dogs.
- Livestock & Welfare: Animal welfare is our absolute priority. Wildlife and livestock in the area means your dog should be kept on a lead to protect these other animals. For full-site hires, dog availability must be discussed and agreed upon separately in advance. We reserve the right to refuse dogs depending on the seasonal location of our sheep and lambs.
- Breeds & Nuisance: You must fully comply with all UK laws relating to specific dog breeds and restrictions. No banned breeds are allowed on our site due to insurance. You will be asked to leave the site immediately with no refund if your dog is found off-lead, unattended, if you are not complying with current laws, or if your dog causes a persistent nuisance to other guests (such as excessive barking).
